Book education and participation benefits as credit

If a provider covers the participation fee, e.g. through education and participation benefits (BuT), book the amount as credit to the family's account. The payment obligation remains, and the credit covers it.

Prerequisites

Role View and create payments.
The registration belongs to a participant account and has a payment obligation.
For the template: a booking template for BuT, e.g. “BuT credit”.

Steps

Select Payments.
Select the family in the list, e.g. Jo Beispiel.
Above the Account statement, select Manual booking.
Under Template, select BuT credit.
Under For, select the registration that the provider covers, e.g. Alex · Canoe trip. Amount then shows its payment obligation.
If the notice names a different amount, enter it under Amount.
If the template names several providers, select the provider from the notice under Provider.
Review the Posting text.

Warning

With Request the rest of {amount} by payment link, the email with the payment link is sent to the family immediately.

To request the rest of the payment obligation by payment link, turn on Request the rest of {amount} by payment link.
Select Book credit.

At the top the list of debtors, below it the manual booking above the account statement. The family owes the rest of €12.50 for Mia's Pottery course.

Result

The booking appears in the Account statement with the template's abbreviation, and the value under Open items drops by the credit. If the family pays online or through the payment link, fepli deducts the credit.

If it does not work

Problem	Remedy
The family is missing under Debtors.	It has never paid. Select Payments > Registrations, the key figure Open and, in the Pays column, its name.
Template is missing.	There is no active booking template. Enter the amount without a sign and a posting text such as “BuT · Landkreis Elmsbrück”.
For is missing.	The account has no open registration. The booking then applies to the whole family.
Request the rest of {amount} by payment link is missing.	The credit covers the whole payment obligation, online payment is not set up, or the account has no email address.
The payment obligation itself should drop because your organisation waives the fee.	That is a reduction, not credit: Grant a reduction when settling.
