Collect participation fees for a season

To turn the settlement of participation fees on or off for a season, change the setting Collect participation fees. When you turn it off, you reset the payment obligations that were already billed and are not paid.

Prerequisites

  • Account type Admin.
  • The app Payments is switched on (Payments).

Steps

Warning

fepli no longer claims reset payment obligations, not even if the season collects fees again later.

  1. In the area Seasons, select the season Summer holidays 2027.
  2. Select Edit.
  3. Switch to Payment & completion.
  4. In the section Payments, turn Collect participation fees on or off.
  5. Select Save.
  6. To reset the season's payment obligations that were billed and are not paid, select “Reset {count} charges” in the dialog. To keep them, select Cancel.

The section Payments on the page Payment & completion of the season and the dialog that appears after turning it off.

Result

If the setting is on, confirmations for offers with a fee create a payment obligation, and the participant list shows the payment status. If it is off, the season appears in no payment view. If you confirmed the dialog, the website no longer shows “Payment pending” for the reset registrations, and the quick tab Payment open under Participants does not count them.

If it does not work

ProblemRemedy
The dialog does not appear. It appears only if you turn the setting off when saving and the season has open charges.
You cancelled the dialog, or the season was already off.A hint under the switch names the number of registrations with an open charge. Select Reset → there to open the dialog.

How families pay online

Families pay the fees on the website, on the page Registrations. fepli shows the area for paying there only if an online payment provider is set up or the app SEPA direct debit accepts mandates: Collecting participation fees online with pmPayment. A family pays the open fees of its account in one payment, across all participants.

  1. Under Registrations, each confirmation with a fee that is not paid yet shows “Payment pending”.
  2. Below the list, the family selects Pay participation fees.
  3. In Check billing address, it confirms the postal address from its account with Continue to payment. Without a postal address, fepli issues no receipt; the family then adds it in its account.
  4. In Select offers for payment, the due offers are listed per participant with their fee, and the family selects Continue to payment. fepli deducts a credit from the amount. Only if your instance allows Offers selectable for payment does the family select the offers individually beforehand.
  5. In Check entries, it selects “Pay {amount}”.
  6. At pmPayment, it selects the payment method and pays.
  7. pmPayment redirects back to the website, and the page shows “Payment made!”.

The page Registrations on the website and the three steps of the payment, on the right the way via pmPayment and back. The page of pmPayment is only hinted at.

As soon as pmPayment confirms the payment, every paid registration counts as paid: “Payment pending” disappears from the list, and the participant list shows the payment status. The family finds the receipt in its account under Payments. If the bank confirms the payment only later, the page points out that fepli is still waiting for the confirmation.

If a credit covers the whole amount, the button in Select offers for payment reads “Confirm participation now”, and the family confirms without pmPayment. It confirms free offers with a confirmation from the lottery the same way; if there are any, the button below the list reads Confirm offers. If the family cancels at pmPayment, the website shows “Payment failed” with Try again, and the registrations stay open.
