Setting up your club in fepli
The team has invited the Sportverein Elmsbrück by email to submit offers in the summer holidays 2027. With the invitation you create the club's organizer profile and your account. Then you complete the master data and bring in the coach Kim Beispiel. You need about 20 minutes, Kim Beispiel about five minutes for her part.
What you need
- The team's invitation email, e.g. with the subject “Invitation: Summer holidays 2027 – submit your offers now”. The link in it is valid for 14 days, unless the team has set something else.
- The details of the club: address, email address, phone number, website, and two or three sentences about the club.
- The club's logo as JPG, PNG, or WebP up to 1 MB.
- Kim Beispiel's email address, e.g.
kim.beispiel@example.org.
Step 1 – Create the club with the invitation
The link in the email is valid only for your email address and only once. With it you create the club's organizer profile and your own account in one form. The passkey is preselected as the way to sign in: you do not need a password, and the secret key never leaves your device (Why fepli recommends passkeys).
- In the invitation email, select the link. The page Welcome opens.
- Under Your credentials, enter First name and Last name. The Email address is preset.
- Under How you sign in, select Passkey.
- Under Your organization, enter
Sportverein Elmsbrückas the Name. - Enter the club's Street and number, Postal code, and City.
- Enter the club's Email address, Phone, Website, and Description.
- Select Submit registration.
The invitation email and the page Welcome. You can leave Phone under Your credentials empty.
The page Set up a passkey opens with “Step 2 of 2”. Your account is created, you are signed in, and the link from the email no longer works.
Step 2 – Set up the passkey
The passkey is created on the device you are working on right now. With it you sign in from now on by fingerprint, face, or device PIN. If it does not work, sign in with a sign-in link later and add the passkey under Security.
- Select Set up passkey now.
- Confirm on your device with fingerprint, face, or PIN.
The page Set up a passkey. The confirmation on the device looks different depending on the system.
You now see the dashboard with the message “Passkey set up, invitation accepted. You are signed in.” and, on the left in the sidebar, the entries Overview, Offers, Master data, and Files. Next time, select Sign in with a passkey on the sign-in page.
Step 3 – Complete the master data
The master data is the club's public profile. Every offer page shows the club's logo and name and leads via To the organizers to the profile page with description, address, and contact details. Families use these contact details to reach you with questions about an offer.
- Select Master data.
- In the section Profile, under Logo, open the file with the club's logo. JPG, PNG, and WebP up to 1 MB are possible.
- Check the Description. It says in 2 to 3 sentences who the club is and what it offers. The field holds at most 600 characters.
- In the section Contact, check Email address, Website, and Phone. The Mobile number does not appear on the website.
- In the section Address, check the address.
- Compare your details with the preview How your profile appears. Empty fields do not appear on the website.
- Select Save.

On the left the master data, on the right the preview. The preview updates with every input.
The message “The master data has been saved.” appears, and the preview shows the profile with logo, description, and contact details the way families see it on the website.
Step 4 – Invite Kim Beispiel as a member
Kim Beispiel coaches several groups and is to see and edit all of the club's offers, including future ones. Members may do that; they may also change the master data and invite more people. Anyone who looks after only a single offer, e.g. a freelancer for the canoe trip, gets access to that one offer: Invite a person to a single offer.
- In Master data, switch to the tab Team.
- Select Invite member.
- Under Email address, enter
kim.beispiel@example.org. - Select Send invitation.
The tab Team and the side panel Invite member.
The tab Team now shows kim.beispiel@example.org with the status Invited. Kim Beispiel has received an email with her personal link.
Step 5 – Accept the invitation
Kim Beispiel carries out this step. The email is called “Invitation to collaborate”, unless the team has changed the text.
- In the email, select Create account. The page Invitation shows “You have been invited to work on the offers of Sportverein Elmsbrück.”
- Enter First name and Last name.
- Under How you sign in, select Passkey and then Accept with a passkey.
- On the page Set up a passkey, select Set up passkey now and confirm on your device.
The email, the page Invitation, and the page Set up a passkey as in step 2. The organization already exists, so the page asks only for the name.
Kim Beispiel is now signed in and a member. Under Offers she sees all offers of the Sportverein Elmsbrück.
Step 6 – Check the team
- Select Master data and switch to the tab Team.
The tab Team with both members.
Under Team members you now see yourself and Kim Beispiel with the status Active. The row with the open invitation has disappeared.
What you have achieved
The Sportverein Elmsbrück has an organizer profile with logo, description, and contact details that families reach from every offer page. You and Kim Beispiel are members and edit the club's offers together.
If your case is different
- If the team has already created the club, the link leads to the page Invitation. Then accept the invitation as Kim Beispiel does in step 5.
- If an account already exists for your email address, the page Welcome asks only for the club. Afterwards, sign in with that account.
- If your device does not support passkeys, select Password under How you sign in and set a password of at least 8 characters. Set up a passkey later on another device: Set up a passkey.
- If the page reports “This invitation is no longer valid”, the link has expired, been withdrawn, or already been used. Then invite Kim Beispiel again with Invite member. You receive a new invitation for the club from the team.
- If you start without an invitation, register the club yourself: Register as an organizer.
Where to go next
- Submit your first offer
- Invite a member to the team: for more of the club's coaches.
- Organizers: all fields of the master data.
