Grant a reduction when settling

If your organisation waives part of a family's fee, e.g. with a pass for low-income families, grant a reduction when settling. It lowers the payment obligation and appears as a separate line on the receipt.

Prerequisites

Role View and create payments.
For the payment link: online payment that is set up (Collecting participation fees online with pmPayment).
For a fixed reason: a reduction with Can be chosen per position when billing, e.g. “Elmsbrück-Pass”.

Steps

Select Payments and then the key figure Open.
Select the family's registrations, e.g. Alex Beispiel with the Canoe trip.
Select Settle & create receipt.
Under the item, select the reason, e.g. Elmsbrück-Pass. The amount drops by the reduction.
To grant a different amount, enter it in the item's row.
If the reason requires a note, enter why the reduction is granted.
Under How is it paid, select Payment link.
Under Send link to, review the email address.

Warning

The family receives the email immediately. The reduction stays with the registration even if the receipt expires after 30 days.

Select Create receipt & send link.

Behind it the open registrations, in front the side panel **Bill registrations**.

Result

The message “Receipt created” appears, and below it “Receipt for {amount}. Payment link sent to {email}.” The family receives the email with the receipt and the payment link.

If it does not work

Problem	Remedy
“Say why “{offer}” is reduced.” appears.	Enter a note under the item. “Other …” and reductions with Amount typed require one.
Payment link is missing under How is it paid.	Online payment is not set up. Select Cash if the family pays at the counter: Record a cash payment.
The link should be sent later.	Select Create receipt only, link later. Later, open the receipt under Payments > Receipts and select Remind.
A provider covers the costs, e.g. through education and participation benefits.	That is not a reduction: Book education and participation benefits as credit.
The reduction should apply to each of the participant's registrations.	Turn it on in the participant's form: Participants. If families are to state it themselves, turn on Families state it themselves for the reduction: Confirm submitted reduction evidence.
