Send a payment reminder with a payment link
If families have not paid their fees yet, send a payment reminder. Each family receives an email with its amount and a link to pay.
Prerequisites
- Role View and create payments.
- Online payment is set up. See Collecting participation fees online with pmPayment.
Steps
- Select Payments and then the key figure Open.
- Select the registrations you want to remind about.
- Select Send payment link.
- In the dialog, review which accounts are left out. These are accounts without an email address and accounts whose credit covers the amount.
- Select Open draft.
- Review the text of the Payment reminder template and adjust it if necessary.
- Select See preview and review the email.
Warning
Sending cannot be undone.
- Select “Send {count} payment reminders” and then Send for good.
Result
Each account receives an email with the button “Pay now” and a receipt for all selected registrations. If the family pays within 30 days, the receipt is paid.
If it does not work
| Problem | Remedy |
|---|---|
| An account has no email address. | In the dialog, select Print invoice and hand the invoice over on paper. |
| “Online payment is not set up.” appears. | Without a payment provider there is no payment link. See Collecting participation fees online with pmPayment. |
| A family is missing under Open. | If it paid with a direct debit mandate, the receipt counts as paid. You find the debit under Payments > Direct debit (Payments). |
| The family sees “This payment link is unfortunately no longer valid. …” | After 30 days without payment, the receipt is abandoned. The registrations stay under Open; send a new payment reminder. |
