Prepare a season and publish an offer
As an admin, you prepare a practice season with phases and take an offer from draft to the website. There you see it the way families see it. At the end you delete the practice data again. You need about 45 minutes.
What you need
- An account of the account type Admin. Admins sign in with a passkey; fepli does not allow them a sign-in link by email by default: Set up a passkey.
You do not need real data. You create an organizer profile and a season of your own, and the offer appears in no public list.
Step 1 – Create a practice organizer profile
Every offer belongs to an organizer. So that the practice does not affect a real organization, you create a profile of your own.
- Select Organizers.
- Select Create new.
- Enter
Practiceas the Name. - Select Create.
From the list Organizers to the area New organizer, which opens on the right.
On the right you now see the organizer profile Practice. It has no accounts and no offers yet.
Step 2 – Create a season
- At the top right, select New and then Season.
- Enter
Practice seasonas the Name. - Select Create.
Via New to the area New season.
The season is created, and the page Phases opens. Under Timeline it says “No phases set up yet”.
Step 3 – Set two phases
- In the section Editing phase for organizers, select set up.
- In the section Publish offers, select set up.
- Select Save.
The page Phases of the new season. In front, the Timeline after saving.
The Timeline now shows both phases as bars in the rows Editing phase and Offers visible, plus the marker Today. Both phases start today at 9:00 and end in seven days at 23:59. In the first phase, organizers may create offers, and in the second, published offers are visible on the website.
Step 4 – Create an offer
- Select Offers.
- Select New offer.
- Select Start blank.
- Under Season, select
Practice season. - Enter
Practice offeras the Title. - Under Organizers, select
Practice. - Under Visibility, select Only via private link.
- Under Description > Text, enter one sentence.
- Select Create draft.
From the offer list via the dialog New offer to the page New offer. The page is cut down to the fields of this step.
The offer is saved as a draft, and the header shows the status Draft. Because the visibility is set to Only via private link, the offer later appears in no list and no booklet.
Step 5 – Enter a date and the registration type
- On the left, open the page Dates & places.
- Select Add date.
- In the calendar, select the day in 3 days and enter
10as Start. If the day is in the next month, select Next month first. Move to End with Enter, enter12and select Done. - Select Save.
- On the left, open the page Registration.
- Under Registration type, select No registration needed.
- Select Save.
The pages Dates & places and Registration of the offer, each with its own Save.
The offer now has a date. The registration type No registration needed makes it an open offer without a participant list and keeps the practice short.
Step 6 – Read the proof check
- Switch to the tab Proof.
- On the left, read the Proof check.
The tab Proof: the proof check on the left, the preview on the right.
The proof check reports no errors, but a few notes, e.g. No age range and No picture. Notes do not hold up a publication. You should fix errors such as No date entered beforehand. You will see the same list later for every submitted offer.
Step 7 – Publish the offer
- In the header, next to Status, select change and then Submit.
- Select change again and then Approve.
- Select change again and then Publish.
After each change, the menu offers the next status.
The status changes from Submitted via Approved to Published. In everyday work, the organizer submits, and the team approves and publishes; as an admin you may trigger all steps yourself.
Step 8 – View the offer from a family's point of view
- In the header, select View offer page.
View offer page opens the page that families see in a new tab.
A new tab shows the offer page on the website with title, description, and date. The address is the private link, and only whoever has this link sees the offer. With the visibility Public on the website, it would also appear in the offer list as long as the phase Publish offers is running.
Step 9 – Delete the practice data
- In the sidebar, under Seasons, select
Practice season. - At the top right, select the actions menu ⋮ and then Delete.
- In the dialog, select Delete season. The warning that the offer is deleted with the season affects only the practice offer here.
- Select Organizers.
- In the row
Practice, select the actions menu ⋮ and then Delete. - In the dialog, select Delete organizer.
On the left the season, on the right the organizer profile: each time the actions menu ⋮, then the dialog.
Season, offer, and organizer profile are now deleted. Practice season no longer appears in the sidebar, and the list of organizers no longer shows Practice.
What you have achieved
You have created a season with two phases, taken an offer through all statuses to publication, and seen it on the website. You now know that an offer appears only when status, phase, and visibility match.
Where to go next
- Planning the summer holidays with a lottery: now for the real season.
- Invite new organizers: so that organizations enter their offers themselves.
- Review and approve submitted offers: the everyday work of reviewing.
- Why status and phase work together: How phases steer a season.
