Hand direct debits over to the treasury

If families have paid with a direct debit mandate, you hand the pending debits over to the treasury as a list and record the hand-over in fepli.

Prerequisites

  • Role View and create payments.
  • The app SEPA direct debit is switched on, and Creditor identifier and Payee are filled in.
  • At least one debit appears under Collection pending.

Steps

  1. Select Payments in the sidebar.
  2. Switch to Direct debit.
  3. Check the rows and the total under Collection pending.
  4. Select Download list.
  5. Hand the file lastschriften-{date}.csv over to the treasury.

Warning

In the interface, Mark as handed over cannot be undone. Select it only when the treasury has the file.

  1. Select Mark as handed over.

Under Payments > Direct debit are the debits that wait to be handed over to the treasury.

Result

The message “{count} debits marked as handed over.” appears, and under Collection pending it says “No debit waits to be handed over.” In the mandate, the receipt shows “handed over on {date}”.

If it does not work

ProblemRemedy
The tab Direct debit is missing. The app SEPA direct debit is switched off, or you lack the role View and create payments. Switch the app on in the App-Store.
“Without creditor ID and payee, no mandate is accepted.” appears.Select Open app and fill in both details.
Nothing appears under Collection pending. No debit waits to be handed over. Under Mandates you find the mandates that families have given.
A debit appears under Mandate revoked, do not collect. The family revoked the mandate before the hand-over. The debit is missing from the file and is not marked.
The umlauts in the file are wrong. The file is UTF-8 with BOM, separated by semicolons and has the decimal comma. Set the character encoding UTF-8 when you import it.
A debit is in the file and still under Collection pending. It arrived after you opened the page, and the marking did not include it. Reload the page. The debit is in the next list.
